Weekly Club Meeting Roles and
Responsibilities
Greetings Fellow Rotarians,
Here is where you will learn what
your specific and detailed role and
responsibilities are for this week's club
meeting.
Please review the emailed agenda, look at the
sections at the top and the bottom of the agenda
to see what your duties are and for which week.
Hopefully this will assist you in being most
prepared
For details of your duties, please see the duty
descriptions below. Note that there are
specific items that in some cases must be
completed
prior
to the actual meeting, such as:
-
working with your guest
speaker,
-
printing items and bringing
them with you,
-
etc.
If for some reason you are not
able to attend the meeting where you have
assigned duties, please take it upon
yourself to find another Rotarian
to take your place and communicate that change
the Program Chair, Club Service Chair, Sergeant
At Arms and Club President.
Additionally, if you are scheduled for
Invocation, you may present one of your choice
(non-denominational) or
follow this link to a document of suggested
Prayers/Devotions that could be used - that's
your option.
Should you have any questions

at least one of the following for further

PROGRAM ROTARIAN
-
Be present at the assigned
meeting and arrive prior to your guest
speaker so that you are there once the guest
speaker arrives
-
Obtain a speaker for the
assigned meeting
Visit
Gust Speaker Information and also share
this link with your guest speaker.
-
Coordinate and reconfirm
speaker's attendance multiple times prior to
the club meeting date
-
Meet and greet speaker and
make them feel welcomed and taken care of at
the meeting. Again, arrive at our club
prior to the guest speaker
-
Introduce speaker at the
meeting
-
Follow up after meeting
thanking the speaker for their presentation
BULLETIN NOTES
-
Be present at the assigned
meeting
-
Take copious notes during the
meeting
-
and then provide the notes in
legible format to Club Service Chair within
one business day of the meeting
GREETER/FRONT DESK DUTY
-
Be present at the assigned
meeting
-
Print out 20 copies of the
agenda and the Duty Assignment Sheet (PDF).
-
Bring to the meeting
-
Print out one copy of the
sign-in sheet and bring to the meeting
-
Arrive to the meeting prior
to 7:20 AM
-
Make sure that the following
are available:
-
Name badges
-
Visitor passes
-
Temporary Name Badges for
visitors
-
Sign-in Sheet (the one
you printed)
-
Agenda (20 copies that
you printed above)
-
-Raffle Tickets (see
agenda for pricing)
THEN
-
Joyfully and enthusiastically
welcome each member and guest
-
When members and guest
arrive, cross out their name or add them to
the bottom of the sign-in sheet as
applicable
-
Give each member an agenda
-
and sell them a raffle ticket
-
Collect $10 from any visitor
unless we are inter-club-billing. See Club
Treasurer for details.
-
Encourage each member to wear
their name badge
-
Provide sign-in sheet to
Sergeant At Arms by 7:45 AM
-
Provide monies collected from
guests and the non-raffle raffle to the Club
Treasurer by 7:45 AM
PRAYER & PLEDGE
-
Be present at the assigned
meeting
-
Have a devotion prepared to
deliver or use one
from this link
-
Once the devotion is
delivered, then lead the group with the
Pledge of Allegiance
HEALTH & HAPPINESS
This
function is also performed by the individual
with the assigned duty of GREETER/FRONT DESK
DUTY
-
Be present at the assigned
meeting
-
At the President's direction,
lead the Health & Happiness segment of the
meeting
